How to manage user time zones

Getting time zones right matters. It affects the times you see in reports and when your people receive communications. Here's how to set up and manage time zones across your organisation.

Set a default time zone for your organisation

You can set a default time zone at the account level. Any new person added to your organisation automatically inherits this time zone. New starters don't default to the wrong time zone — they have the right one from day one.

Go to Settings > Organisation and find the Default time zone field. Choose the time zone that applies to most of your people.

Set time zones in bulk via CSV

If you're onboarding people in bulk, the CSV upload now includes a time zone column. You can set the time zone for each person individually, or leave it blank and they'll pick up the account default.

Push time zones through SCIM

If you use SCIM provisioning, time zone is now a supported attribute. It flows through automatically from your identity provider.

See your organisation's time zone spread

A time zone distribution view shows you how many people are in each time zone. You can quickly see the spread and spot anyone who might need updating. You'll find this view when scheduling notification campaigns and workflow actions — it's also available from the organisation settings.

Tips

  • Set the account default first. Every person added after that inherits it automatically.

  • Use the time zone distribution view to check for people still on the wrong time zone.

  • If you use SCIM, time zone stays in sync with your identity provider going forward.

Frequently asked questions

  • What happens to existing people when I change the account default time zone? The account default only applies to new people. Existing people keep their current time zone. To update existing people, use the CSV upload or ask them to update their own profile settings.

  • What if I don't set any time zone? People without a time zone set will default to UTC. We'd recommend setting the account default to avoid this.

  • Does the CSV time zone column accept any time zone format? The column accepts IANA time zone names (like "Europe/London" or "America/New_York"). You'll see validation errors if the format isn't recognised.

  • Can people change their own time zone? Yes. People can update their time zone from their profile settings at any time. See How to manage your time zone for more.
