How time zones work in notifications and workflows

When you schedule a notification campaign or a workflow action, you want your people to receive it at a time that makes sense for them.

Deliver in each person's time zone

When scheduling a notification campaign, you'll see an option to deliver in each person's time zone. Toggle that on, and 9am means 9am local time for every person — wherever they are.

The same applies to workflow delay-until actions. If you set a delay until 10am with the time zone toggle on, each person hits that step at 10am their time.

Without the toggle, the time you set applies as a single absolute time for everyone.

Check the time zone spread before you send

Once you've set your schedule, you can check the time zone distribution of the people you're targeting. This shows you how many people are in each time zone, so you can assess whether the timing will land well before you go live.

Learning campaign notifications, refresher test invites, and culture assessment emails now respect each person's time zone automatically. These deliver based on local time with no toggle needed.

Frequently asked questions

  • What happens if I don't toggle on "deliver in user's time zone"? The time you set applies as one fixed time for everyone. For example, if you schedule 9am without the toggle, everyone receives it at 9am in your time zone — regardless of where they are.

  • Can I use the time zone toggle for phishing campaigns? Phishing campaigns already deliver based on each person's local time, within the schedule window you set. No toggle needed — this has always been the case.

  • What happens to previously scheduled notifications if someone's time zone changes? Previously scheduled notifications stay on their original schedule. Only future sends reflect the updated time zone.

  • What if some of my people don't have a time zone set? People without a time zone default to UTC. We'd recommend setting the account default time zone so new people always have the right one. See How to manage user time zones.

  • Does the time zone toggle affect when the campaign starts, or just when each person receives it? Just when each person receives it. The campaign still starts at the scheduled time — but delivery fans out across time zones so each person gets it at the right local hour.
