Build, change and explain workflows with CybSafe Signal

Written by Ben Chadfield

CybSafe Signal can draft a workflow from a plain-language description, change a workflow on the builder canvas, and explain what a workflow does. Signal never publishes or activates a workflow. You review it, publish it and activate it yourself.

Before you start

You need CybSafe Signal turned on for your organisation and access to Workflows. If Signal tells you the workflow builder isn't enabled, contact your CybSafe representative.

Draft a workflow from a description

  1. Select CybSafe Signal in the top right of the platform.

  2. Type what you want. For example: "When someone fails a phishing simulation, enrol them in a phishing module and send them a reminder a few days later."

  3. Signal checks the Workflow library for a template that covers everything you asked for. If one does, Signal starts from it. If not, Signal builds the workflow from the actions available to you.

  4. Signal replies with the name of your draft, the template and trigger it used, a short summary, and a list of anything you still need to set. If nothing is missing, it tells you every step is filled in.

  5. Select Open it in the workflow builder.

  6. Check each step, choose your audience and fill in anything Signal listed.

  7. Select Publish workflow. Your workflow is saved as Paused.

  8. When you're ready for it to run, go to RESPOND > Workflows, select the three dots next to your workflow and choose Activate.

Tips for a good draft:

  • Say what should start the workflow, who it's for and what should happen.

  • If Signal can't find something you named, or more than one item matches, it leaves that setting blank and tells you to choose it on the canvas.

  • If an action isn't available to your organisation, Signal leaves it out and tells you.

  • To add a step, ask in the same chat and Signal adds it to the same draft. To remove or replace a step, open the draft and change it on the canvas.

Change a workflow on the canvas

  1. Go to RESPOND > Workflows and select Create, or select the three dots next to a workflow and choose Edit.

  2. Open CybSafe Signal and describe the change. For example: "Change the wait to 3 days" or "Add a reminder email after the wait".

  3. Signal makes the change on the canvas and tells you what changed. If it can't make a change, it says so and leaves the canvas as it was. If it isn't sure which item you mean, it asks you.

  4. To undo Signal's changes, select Revert Signal edits.

  5. Nothing is saved until you select Publish workflow or Save changes.

Explain a workflow

  1. Go to RESPOND > Workflows and open a workflow, or select the three dots and choose Edit.

  2. Open CybSafe Signal, select Actions below the message box and choose Explain this workflow. Or ask "What does this workflow do?"

Signal tells you how the workflow runs (once when it's activated, or each time it's triggered), who it applies to, and each step in order, including what each branch checks. It explains the version you last saved, so save your changes first. For a draft, it describes the draft as Signal created it, and anything still to set. Changes you've made on the canvas since then aren't included until you publish.

FAQs

Does Signal publish or activate workflows? No. You publish a workflow from the builder, and it's saved as Paused until you choose Activate.

Where do I find drafts Signal made? In RESPOND > Workflows, with the status Draft. Select the three dots and choose Edit to finish one.

I asked Signal to build a workflow while I was looking at one, and it didn't. Signal won't create a new workflow from a saved workflow's page. Edit the open workflow on the canvas, or go to Workflows and select Create.

Why didn't Signal use the template I expected? Signal only uses a template when it covers everything you asked for. Otherwise it builds the workflow from your available actions.
