Introduction
CybSafe gives you the ability to send targeted behavioural nudges to your people. You can send these nudges via Microsoft Teams
In order to use the CybSafe app for Microsoft Teams, you have to download the app from the Microsoft Teams app store and add it to your company’s Microsoft Teams workspace.
This help article will guide you through the steps of downloading, installing, and mandating the app for your company, along with how to send nudges through Microsoft Teams.
There are two main actions that need to take place to get teams up and running.
1. Updating permission policies, which allows messages to be sent to the app.
2. Installation & mandating the app, which ensures users have access to the app.
Permissions
If you aren’t an administrator in your organisations Microsoft Teams, you may need to request help from someone who is to do this.
Step 1: As an administrator, go to your teams admin console here. You should see a page like the below.
Step 2: You'll need to decide if you want to use the Global default policy, or create a new one.
Global default policy will be applied to everyone in your organisation
A new policy will need to be assigned to users who use Cybsafe, but offers more control
Step 3: Either way, create or edit the policy and you'll see a screen like the one below.
Step 4: Check the value for Third Party Apps.
If this is allow all apps then you need to take no action, skip to the installation step.
If this is allow specific apps and block all others, then you'll need to add CybSafe to the list of allowed apps using the "allow apps button"
3. If this is block specific apps and block all others: Then you'll need to make sure CybSafe is not on the blocked list. If it is, remove it.
4. If this is block all apps then you won't be able to use the MS teams app. Either create a new policy or discuss with relevant members of your team about whether this can be changed.
Once addressed. Click save. If you've created a new policy, you'll need to assign it to the relevant users. For more information consult the microsoft guidance here.
Installation
User level installation
If you aren’t an administrator in your organisations Microsoft Teams, you may need to request help from someone who is to do this.
Step 1: Go to the MS Teams app store and look for the CybSafe app which can be found here.
Step 2: Click Get it now to install the app on your personal instance of MS teams.
Step 3: Sign in to teams if not already signed in. You'll be taken straight to the app.
Mandating the app for your company
If you want to mandate the app for it to be automatically installed for everyone in the company follow the steps here.
Step 1: As an administrator, go to your teams admin console here. You should see a page like the below. Change the status to Allowed and click "Install for everyone"
If you can't access this page via the link directly for any reason:
Step 1: Go to manage apps in the teams admin section.
Step 2: Search for CybSafe
Step 3: Click on the name "CybSafe" (Nb: not CybSafe Teams)
Step 4: You should see the page in Step 1 above.
NB: If you have any issues here, try adding it via setup policies instead.
Troubleshooting
Connecting the app to CybSafe & sending nudges
Once the app is installed, it will automatically link the Microsoft Teams account to the CybSafe user that has the same email.
People who have a Microsoft Teams account linked to their CybSafe account will receive nudges in Teams whenever one is sent. They can also receive these nudges via email and/or browser push notifications.
Note: CybSafe can only send nudges to Microsoft Teams accounts that have installed the CybSafe app.
If you do not mandate installation, then the number of users who you can nudge will be limited by the number of app installations.
Why are some of my nudges failing to send?
Sometimes you'll see nudges failing to reach people in your organisation. Usually this is because of a recent MS Teams update that needs to be in place on the users teams instance before the nudge can be received and the cybsafe app installed correctly. MS teams must be re-launched for updates to take effect.
In these instances the recommendation is that users restart (quit the app and reopen) MS teams on their computer to ensure the update is applied.
NB: This is not an issue if they typically access teams via a web-browser.
